Forms Controlling Balances

1 General

This application makes it possible to enter in controlling balances with the help of forms.

For each account, there is an entry line in which at least one controlling object and the amount should be entered. Controlling objects that have additional controlling dimensions can also be entered. Here, however, the check for what dimensions are required or prohibited for a specific account will not be performed until the information is saved. Another input line will possibly be inserted after a line has been filled out. In addition, lines that contain existing data will be shown for each account. These can be modified if necessary.

You can find the application in the menu trees (resource tree and quick starter) below the menu <Master files> in the submenu <Company financial statements / Entry>.

2 Use

Entry of data: Operating this is the same as recording account balances: The buttons <TAB> and <ENTER>move the cursor into the next respective cell that is prepared to accept entries. A new input cell will automatically be added for the same account in the table by using <ENTER> after the last input cell. You can change to the input line of another account by using <TAB> or the mouse. Analogous to completing forms for account balances (I-KTOSAL), it is not possible to enter a debit/credit mark. This will be considered to be a default value in accordance with the balance / P+L mark of the account. Deviating debit / credit marks can be achieved by entering negative values.

If account balances already exist, these are pre-entered as defaults in the appropriate line, therefore either only one controlling object will be entered for the entire sum or the value will have to be overwritten if the amount is to be distributed among multiple controlling objects.

No controlling balances can be stored in accounts that are invalid or not allowed to accept entries.

Saving data: By pressing the button <Save> existing as well as modified data, but also the data recorded, will be transferred to the import application TXTICSALD where it will be checked and entered into the database. Updating will perhaps be performed on existing data. After it has been saved, a plausibility check will be performed for any data whose result will be displayed in a message window in the event that an error is detected. In addition, the attribute that contains an error will be highlighted by marking it in color and the error message will be displayed by the tool tip.

3 Selection possibilities

The keys 'company', 'period' and 'type of data', but also 'division', if necessary, are to be specified clearly. The following entries are also necessary in order to be able to enter data:

Sorting option: A distinction is to be made between the following versions:

  • Sorting option ‚FK' (is also a default value when accessed directly: The relevant accounts in the report scheme will be aligned here. This means that all of the accounts for which, according to the chart of accounts, a controlling outline is required will be shown regardless of whether or not there is an account balance.
  • Sort option ‚FS' The accounts in the recording scheme will be aligned here, too, however only those accounts that require a controlling outline and for which an account balance exists will be displayed.
  • Sorting option ‚KK'With this option, all of the accounts for which a controlling outline is necessary will be listed in alphanumerical order.
  • Sorting option ‚KS' All of the accounts for which a controlling outline is necessary and an account balance already exists will be listed here.

An entry in the field KoPLan+KTO limits the entry of controlling balances to one account (or several accounts if the % sign is used).

By entering a language you can control whether the accounts and positions are to be displayed in a different language than the language of the user.

The Report ID is a mandatory entry for the sorting options 'FK' and 'FS'.

4 Action menu

The following actions can be started from the action menu on completing forms on IC balances:

[Save]: The action <save> results in an audit of the recorded data and results in it being transferred to the database. The data is either entered or modified. Nevertheless, no data is deleted, therefore values that have been changed to read zero may remain in the database as zero values. These can only be permanently deleted in the application <CNTSAL>.

[Company financial statements + monitor]: By activating this menu, you can switch over to the overview of the company financial statements + monitor for the company you would like to work on.

[Controlling balances]: By using this feature, you'll be able to branch off to the company that is currently being worked on in the controlling balances overview (CNTSAL) in order to be able to display the data that has been entered to date.

[Controlling objects]: By using this feature, you can branch off into the overview (CNT) in order to be able to display the existing data and modify it, if necessary.

[Forms details]: With this feature, you'll be able to branch off into completing forms for account balances, IC account balances, as well as various types of transactions in order to be able to display and modify the data that has been stored here to date.

The following applications that are marked by a global refer to the selected data in their entirety. Half a globe, on the other hand, refers only to the actions marked. If multiple lines are marked, then the following applications can be called up per line one after another using the button <Continue>.
