Report Definition REPDEF

1 Overview

The application REPDEF (report definition) replaces the previous applications RID (report ident) and REPZEI (report line definition). The application can be accessed using the abbreviation REPDEF or via the resource tree under the chapter analysis / reporting under the heading report definitions.

Similar to the application SPIDEF (transaction development definitions), this application displays a list of defined report idents with their most important characteristics immediately after it is opened. New report idents can be created and existing report idents can be edited, copied or deleted via the corresponding icons in the toolbar.

2 Create new report ident

You can create a new report ident via the star icon in the top menu bar or the menu bar to the upper right. This opens up a wizard that consists of three pages. Green check marks and red stop signs indicate whether the corresponding page has been filled out correctly. If certain key fields have not been entered correctly, you will not be able to switch to another page. A click on 'ready' is synonymous with 'save.' The respective entry of 'last change' can only be made after a refresh.

The three areas of the wizard are divided as follows:

2.1 Report descriptions:

Here, you can select the key (RID), the validity and the description incl. short text. The fields 'Report ident,' 'valid from' and 'description' are mandatory.

2.2 Report attributes:

On this page, the report type can be selected via a drop down box. The report type defines the nature of the report:

  • C – Controlling/UKV report
  • D – Transaction development report
  • E – Balance sheet/profit + loss (P/L) report
  • F – Cash flow report
  • P – Period balance sheet/profit + loss (P/L) report
  • Q – Period cash flow report
  • S – Period balance sheet/profit + loss (P/L) report for target/actual comparison
  • T – Sub-group report
  • V – Consolidation report
  • W – Consolidation cash flow report

You must only select a corresponding transaction development in the field transaction development in connection with the report type D. The transaction development can be selected using the selection box. It is also possible to define a transaction development report without restricting it to a single transaction development, however. In this case, you must create a report ident (RID) that includes the report type 'D' (transaction development report) and leave the specification of the transaction development that was needed before empty. This type of report basically contains all of the data on the transaction developments activated for the current period and data type. A restriction can only be applied to a certain transaction development via the report line description (REPZEI) by assigning the positions with the desired transaction development accounts to the report.

Only one report (e.g. balance sheet/profit + loss (P/L) report, period report, consolidation report, etc.) can be assigned to a report ident that then serves as the header of a report line description (REPZEI). To avoid having to update identical report line descriptions (REPZEI) for the various report types, it is possible to assign a reference report ident to a report ident. In this case, no data will be displayed in the lower table. If no reference report ident has been entered, you must enter a report line description for the report ident. You can also assign another similar transaction development report, a transaction development spanning transaction development report (report type 'D' without transaction development) or a balance sheet/profit and loss report (report type 'E ') to a transaction development report (report type 'D' + transaction development) as a reference.

Default column options can be entered in the fields column option for company report or group reports. These column options will be set automatically when the report results are shown if the respective report header (REPE) does not contain a column option.

The field flag default report for recording determines whether the report can be used for filling out the forms or not. A report ident as the default report for form entry can only be selected if this flag has been entered and it is a transaction development.

2.3 Multilingual descriptions

The corresponding descriptions can be entered for the languages activated (SPR) here.

3 Editing of report ident

3.1 Edit report ident using the wizard

To edit an existing report ident, you must select it first with a double click. After the table of the report idents has faded out, you can call up the wizard via the pencil icon in the top menu bar and make the appropriate changes or additions.

3.2 Editing of the report ident in the table

To edit an existing report ident, you must select it first with a double click. After the table of the report idents has faded out, you can fade in this table again from the side storage area. If you then select the line, you can click 'editable table cells' with the right mouse button. The report ident that you have selected and the accompanying report line description will be unlocked. The changes can be saved via the disk icon.

4 Create a report line description

Double-click on the report ident that you would like to create a report line description for. The overview of the report idents will fade out and the lower table will come to the fore with the key of the selected report displayed in the navigation bar. At the same time, an overview of the position plans including the positions in the form of a tree structure will be shown on the right.

The left table area is divided into four tabs:

4.1 Tree

You can create the report line description in this tab. The positions can be moved from the right table to the left table per drag and drop or double-click. The position can then be moved freely up and down per drag and drop in the left table. The dedicated editing of a report line description is performed using a wizard that can be accessed by double-clicking on a line or by marking the row with the pencil icon of the toolbar in the table. The wizard consists of five pages:

  • Line type/value indicator/column condition: The first page defines the type of line based on the previous attributes, line type and value indicator, but can be entered via a series of captioned radio buttons. The page also includes input options for the column condition that will be limited to specifying the column '02' and the number of automatically unfolded elevation levels in the future.
  • Total lines: A second page is provided, but only for the total lines. The lines from which the total value is to be calculated can be put together here using drag and drop. This corresponds to the previous entry of in and ex memories.
  • Restrictions: A third page for entering restrictions is only available for certain report types, e.g. 'F' the cash flow statement or 'D' for development transaction reports. The restriction based on the posting key and transaction development columns is only possibly for cash flow reports and the restriction based on data origin is only possibly for transaction development reports. Here, multiple selection is possible, therefore report lines defined separately for the same position in the past will now be displayed as only one line, just as this is done in the report result generated.
  • Formatting: Entries can be made on the formatting of the line (font, colors, traffic light control) on the fourth page.
  • Formatting (for printing): The last page contains the information on how to control printing (underline, line or page feed).

4.2 OLAP

OLAP displays the report as a tree structure in accordance with the defined allocated OLAP positions. If no OLAP structure has been stored yet, this will be displayed in the form of a list to start with. If an OLAP allocation is to be created automatically, you can start the function 'assign standard allocation' via the right mouse button. This function creates an OLAP allocation for the evaluation of the report structure in IDL Data Mart or individual BI interfaces. The positions that have been assigned (normal tree view) and in/ex total memories (total lines without a tree structure) will be evaluated when this is generated. Nevertheless, this allocation should definitely be checked once again. Any changes will need to be adjusted using the arrows in the menu bar (move report line(s) higher/lower).

4.3 Preview

The preview is intended to provide an impression of the finished report. For this reason, all formatting details from the report definition will be displayed together with a selectable column option. A dummy value (12,345.67) will be displayed in the cells. The arithmetic logic of the report is not currently being shown, however.

4.4 Report lines

The report line description will be displayed here in the form of a list. No changes can be made. The line number will only be displayed in this view. It can no longer be entered, but rather is assigned automatically based on the graphically defined order of the lines ascending with distance 1 and may therefore differ from the original numbering.

4.5 Open tasks

If implausible data is included in the report line description, it will be listed in the lower area under 'Open Tasks.' If you click on one of these lines, the corresponding line will be marked in the tab 'tree.' Implausible/incorrect entries will be corrected automatically by the program when you click on the disk icon.

5 Editing of positions

You can create, edit, or delete positions in the right table area. Changes in the positions will be saved immediately, regardless of whether the report definition has been stored in the database.

3 Editing of report ident
